Booking Terms & Conditions
Please read carefully the terms and conditions that apply to all bookings with Kevin’s Tours, Inc. All customers must sign and submit a Booking Form acknowledging acceptance of these terms with initial deposit or payment. The booking of any travel service constitutes a contractual arrangement with Kevin’s Tours, Inc. and acceptance of these terms.
Reservations: All reservation requests are subject to availability. A detailed price Quotation is provided with a customer itinerary and full terms and conditions. Quotations are normally valid for 14 days unless specific instant purchase rules apply. Reservations are accepted online or via telephone or mail.
Bookings: To make a booking, read the Booking terms & Conditions and complete the Booking Form using your passport name and submit it with your deposit payment or full payment.
Deposits: A deposit of $300 per person is required to book a tour or customized package. Some reservations and services may require additional deposits or pre-payment and may be non-refundable. Specific deposit conditions are advised at time of booking. Deposits are refundable less a $100 cancellation fee up until 120 days (4 months) prior to departure. Under 120 days, deposits are non-refundable. All deposits must be accompanied by a completed Booking Form.
Confirmation: Upon receipt of a booking, a receipt and confirmation letter is issued to the customer.
Payments: Personal checks or money orders are accepted by mail. Credit cards accepted include Visa, MasterCard, American Express, or Discover online or via telephone.
Final & Full Payments: Full and final payments are due 60 prior to departure. Bookings made less than 60 days prior to departure require full payment. Failure to submit final payment by 40 days prior will be considered a cancellation. Certain fares or service may require full prepayment and are pre-advised.
Booking Changes
Once a booking is confirmed, any change to a tour or package will incur a $25 per transaction fee in addition to any applicable change in fare or suppler cancellation fee prior to documentation. After documentation, a $100 change fee applies. Changes many incur a change in rate from any service provider. Changes to airline tickets incur an airline change fee and risk loss of original fare. All requests for changes are subject to availability. A name change will be treated as a cancellation and any airline cancellation fees will apply. Any change of tour under 60 days will be considered a cancellation.
Cancellations: All cancellations must be made in writing to Kevin’s Tours, Inc.
Cancellations made up until 120 days prior to a tour are charged a $100 cancellation fee.
Cancellations made less than 120 days prior to departure forfeit the deposit. Cancellations made under 60 to 31 days prior to departure incur a $500 cancellation fee per person. At 30 days prior, all tours and packages are non-refundable. Unused services are non-refundable. Additional cancellation fees may apply to customized pre and post services booked.
Prices: Prices are per person based on shared twin accommodation, and include tour services, airfares, fuel surcharges, and all items listed on the itinerary. Prices do not include airline departure and custom and security fees. Exact airline taxes and fees are confirmed at final payment. Prices are based on present currency exchange rates and are subject to change without notice. Kevin’s Tours, Inc. reserves the right to amend a tour price should currency fluctuate more than 3% or due to a government tax or levy. Prices do not include expense of a personal nature such as laundry, meals and drinks not included on tour.
What is Included in a Tour: Tours included airfare, hotel accommodations, private sightseeing and guides, coach transfers and meals as listed and defined in itinerary.
What is Not Included: Airline departure, security and custom taxes and fees, drinks during meals, tips for tour director, local guides, and drivers are all not included in a tour price. Porterage of only one piece of luggage per person and no porterage at airports. Meals not specified and items of a personal nature.
Airline Tickets: Tours include transatlantic economy service on regular scheduled air carriers. Most airlines now issue e-tickets for travel documentation. Accurate passport names are required on tickets. Airline departure, security and custom taxes and fees are not included in tour or package per person price. Kevin’s Tours, Inc. is not responsible for airline delays or cancellations and for the loss of service or accommodations associated with such conditions. Customers are responsible to adhere to baggage and check in requirements for airlines. Kevin’s Tours, Inc. acts as an agent in issuing airline tickets and is not responsible for availability, terms, and applicable fees and surcharges.
Hotels: Rooms are assigned on a run of the house basis and are assigned by hotel management at time of check in. Check in times vary per property and is usually between 12noon and 3pm. Early check in cannot be guaranteed. Standards for air conditioning may vary and may not be available at all times. Kevin’s Tours, Inc. cannot guarantee standards of hotel services and availability. Hotel classifications are based on Kevin’s Tours, Inc. assessment and do not reflect other opinions or sources. We reserve right to substitute hotel properties due to seasonal demands.
Group Minimum: Kevin’s Tours are based on operating with a minimum of 25 passengers and are not guaranteed. We reserve the right to cancel any tour that does not meet this passenger minimum. Customer will either be offered a supplement to travel in a small group or an alternative tour. Full refunds are made on all cancelled tours. Kevin’s Tours, Inc. is not responsible for cancellation fees related to services or airline tickets independently arranged by customer.
Land Only: Kevin’s Tours, Inc. tours include airfare. Customers may choose land only arrangements which are subject to availability. Customers are responsible for meeting the tour on time. Kevin’s Tours, Inc. is not responsible for unused services due to air carrier or travel related issues. In the event of a tour cancellation, we are not responsible for any service or airline cancellation or change fees.
Travel Documents: Tour Documents are normally mailed 21 days prior to departure. Airline tickets are generally issued in an e-ticket format. All service vouchers are held by the tour director.
Passenger Names: Customers must provide their full legal passport name. Name changes will be considered a cancellation.
Contact information: All customers are required to provide accurate contact details and the correct spelling of their passport name.
Travel Insurance: Kevin’s Tours, Inc. highly recommends customers to purchase trip cancellation and interruption insurance. Information on affordable coverage options is available on this site and provided at the time of booking. Premium for coverage is due in full at the time of booking.
Children: All children must travel with an adult and pay full tour price. No children under the age of 15 at time of travel are allowed on the tours. There are no restrictions for children for customized tours.
Passports: A valid passport is required to travel on our tours. Your passport must be valid for at least one year more prior to your departure date. Visas are not required for US Citizens to the European destinations feature. Other nationals are required to obtain necessary visa and passport requirements.
Meals
Are included per the itinerary. Meals are based on the hotel or local restaurants set menu or buffet. Drinks and tips are not included.
Sightseeing & Visits: All guided sightseeing is conducted by local professional blue badge licensed guides. Entrances and admissions listed in each itinerary are booked and reserved in advance. Kevin’s Tours, Inc. reserves the right to substitute entrances, visits, and entertainment due to conditions beyond our control.
Travelers with Special Needs: Kevin’s Tours, Inc. will make reasonable efforts to accommodate special needs. Such passengers must be aware that the Americans with Disabilities act is inapplicable abroad and that facilities for disabled persons may be limited or unavailable locally. It is recommended that persons needing special assistance be accompanied by a travel companion who is capable and entirely responsible for providing assistance. Kevin’s Tours, Inc. nor any of its suppliers and vendors, cannot provide special individual assistance. We do not guarantee the ability to provide special needs including handicap or disabled facilities.
Baggage: There is a limit of one piece of luggage per person on coach tours due to coach limitations. Additional luggage may not be accepted and will incur additional service charges. We recommend customers to plan for local weather conditions. Luggage is carried on tour at owner’s own risk and is the sole responsibility of the customer at all times. Kevin’s Tours, Inc. is not liable for damage or loss of personal effects.
Holidays: Kevin’s Tours, Inc. is not responsible for services being limited during periods of national and local holidays that may cause changes to a tour or package.
Tips: are not included in the tours. Tips should be considered for tour director, drivers, and local guides, and are at the customer’s discretion.
Smoking: is not allowed on coaches and may only take place in designated areas locally.
Air Conditioning: In general, standards for air conditioning vary per country and may not always be available or in working order. Air conditioning may be turned off during certain period of the day or night.
Coaches: All coaches for local transfers and long distance touring are private. Coaches are air conditioned except in the United Kingdom and Ireland.
Personal Conduct: Kevin’s Tours, Inc. holds the safety and security of our customers as paramount. We reserve to right to remove any tour participant who is incompatible with the well being of the tour group or who has broken the law or damaged property. Kevin’s Tours, Inc. is not liable for legal action taken as a result of illegal conduct or damages to property, nor for personal expenses due to this conduct. All passengers hold sole responsibility for actions as regards to local law and authorities.
Errors: In the event of errors or misprints, Kevin’s Tours, Inc. reserves the right to requote and provide a full refund on monies paid.
Customer Service & Refunds: Please submit all customer service inquires in writing within 30 days after your return. Claims for refunds are subject to these terms and conditions and must be accompanied by receipts and documentation. There is no refund for unused services including meals not taken, sightseeing, tickets, transfers, or entrances not used.
Arbitration
You agree that any dispute arising from this contract shall be resolved exclusively by binding arbitration by the American Arbitration Association of New York state and applicable solely to New York state law.
Responsibility
Kevin’s Tours, Inc. PO Box 693, Tarrytown, New York 10591, is an independent company, acts as a tour operator / agent and does not own or operate any goods or service provided in our trips, and as a result is not liable nor responsible for the loss, theft or damage to personal belongings including luggage, nor delay, inconvenience, or irregularity for 1) any unauthorized, wrongful, negligent, or willful acts or omissions on the part of any of the suppliers or other employees or agents, (2) any defect in or failure of any vehicle, equipment, or instrument owned, operated or otherwise used by any of these suppliers, or (3) any wrongful, willful or negligent act or omission on the part of any other party not under the supervision and control of Kevin’s Tours, Inc. Kevin’s Tours, Inc is not responsible for personal injury while on tour nor for trip interruption and any loss of monies paid and or additional expenses incurred in the event of leaving a tour or package early. Kevin’s Tours, Inc. is not responsible for losses or personal expense resulting from illness, weather, strikes, war, terrorism, or other acts of God. All passengers accept that travel submits them to risks and dangers that may arise out of our control. In addition, Kevin’s Tours, Inc. will not have liability regarding provision of any medical care. The booking of any travel service constitutes a contractual arrangement with Kevin’s Tours, Inc. and acceptance of these terms.
